Who we are
This website is operated by [LEGAL ENTITY NAME], trading as SILVER OAK PROPERTIES, a real estate brokerage with offices in Dubai and India. Registered address: [REGISTERED ADDRESS]. Trade licence: [TRADE LICENCE NUMBER].
Our Dubai office is at The Bay Gate Tower, 10th Floor, Office F10-02, Al Mustaqbal St, Business Bay, Dubai. For anything to do with this policy or with your personal information, email info@silveroakglobal.ae or call +971 800 555 555. That mailbox is the route for every request described in this policy. We have not appointed a data protection officer.
Which rules this policy follows
We are based in the United Arab Emirates, so the UAE Federal Personal Data Protection Law applies to us. Many of the people who contact us are in Europe or the United Kingdom, so where the EU or UK General Data Protection Regulation applies to what we do with your information, we follow it as well. Rather than write two policies, we have set out below what we actually do and what you can ask us for, in plain language, and we apply the same standard to everyone.
What we collect when you contact us
This website has no user accounts, no login and no payments. We only receive personal information when you choose to send it through one of the forms.
The contact form on the home page and on the contact page collects:
- Your full name and phone number, which are required.
- Your email address, which is optional.
- What you are interested in, chosen from a list, such as buying, renting, a mortgage or a consultation.
- Your message, which is optional and is free text, so it contains whatever you decide to write.
The popup forms collect the same details, plus the following depending on which one you open:
- Book a Meeting. A preferred date and a preferred time, both optional. They are added to the text of your enquiry.
- Mortgage enquiry. The figures currently shown in the mortgage calculator on the page are read from the screen and sent with your enquiry: property price, down payment and percentage, term, interest rate, the estimated monthly payment, the loan amount and the loan to value. These are figures you typed in yourself. They are estimates, not a credit check, and we do not verify them or ask a bank about you. If you would rather not send them, use the contact form or email us instead.
Every form also shows a tick box confirming you have read this policy and agree to be contacted. The form will not submit without it.
Applying for a job with us
The careers form collects considerably more than an enquiry form, so it is described separately here. Everything in this section applies only to people who apply for a role.
What the application form asks for. Required: your full name, mobile number, email address, nationality, visa status, years of experience, the role you are applying for, your education level, whether you are currently in Dubai, and your CV. Optional: your current address, date of birth, when you could start, the languages you speak, your marital status, your gender, a LinkedIn or portfolio link, and any note you want to add.
The sensitive parts. Nationality and visa status describe your immigration position. Date of birth, marital status and gender are personal details we ask for nowhere else on this website. Date of birth, marital status and gender are optional fields: you can leave all three blank and the application will still submit. Your CV is a document you wrote, and CVs routinely carry a home address, a full work and education history, references and sometimes a photograph or an identity document number. Nothing in our system reads, filters or redacts the contents of your CV. Please only include in it what you are willing to send us.
What happens to the application. When you press submit, your answers and your CV are sent to our own server, which builds one email containing your answers and attaches your CV to it. That email is sent through an email delivery provider and lands in a single SILVER OAK PROPERTIES recruitment mailbox. The CV exists as an attachment on that email. It is not published anywhere and it is not added to any public database. A second copy of your written answers, without the CV file, is recorded in our internal content management system as an application record, together with the file name and size of your CV. We also record the address of the page you applied from.
If the upload fails. If our server cannot accept the application, the page offers to open your own email program with your answers already filled in and asks you to attach the CV yourself. If you use that route, the message travels through your own email provider before it reaches us, and you are the one sending it.
Age. The form requires an applicant to be at least 16 years old. This website is not intended for children.
Why we use it. To assess your application, to compare it with the role, to contact you about it and to keep in touch if another role suits you better. We do not use recruitment information for marketing and we do not share it with other employers or with recruitment agencies.
Information collected automatically
Some information reaches us and our suppliers simply because you loaded a page, whether or not you fill in anything:
- Request information. Our hosting provider receives your IP address, your browser user agent, the page you asked for, the page you came from and the time, for every request. This is ordinary web server behaviour and it is how the site is served at all.
- Content requests. The property listings, developers, articles, events and other content on this site are fetched from our content management system while the page loads. That system therefore also sees the IP address and browser of every visitor, even one who never submits a form.
- Bot checks. Pages that carry a form load Cloudflare Turnstile, which checks that a submission comes from a person and not a script. Cloudflare receives your IP address, your browser user agent and signals about your browser. When you submit the careers form, our server also sends the check result and your IP address to Cloudflare so it can confirm the check passed.
- Rate limiting. Our application endpoint counts recent submissions per IP address, in memory only, to stop the form being flooded. That counter is not written to a database and does not survive a restart.
- The map. Every page footer contains a Google Maps embed of our office. It loads with the page, so Google receives your IP address, your browser user agent and the address of the page you are on, and may set its own cookies. This happens without a separate prompt.
- Images. Property and article images are served from our content storage on Vercel, so your browser requests them directly from that host.
Cookies and browser storage
This website sets no cookies of its own. There is no analytics on this site: no Google Analytics, no Tag Manager, no advertising pixel and no session recording. Nobody is profiling your browsing here.
We do use your browser's own storage for four things. All four stay on your device and are never sent to us or to anyone else:
- A note that the intro animation has already played, so it does not replay on every page in the same visit.
- The display currency you picked in the header.
- A cached exchange rate table, so prices can be converted without refetching the rates.
- The last 20 JavaScript errors the page hit, kept for troubleshooting. This is not sent anywhere.
The Google Maps embed described above is a third party and may set cookies of its own, governed by Google's privacy policy. Clearing your browser storage removes anything this site has kept on your device.
Why we use your information, and our legal basis
- To answer you. When you send an enquiry we use it to reply, arrange a call, a viewing or a meeting, and follow up on what you asked about. The basis is that you asked us to, together with our interest in running a brokerage and responding to people who approach us. If you asked about a specific property or service, that follow up is part of taking steps at your request.
- To handle job applications. The basis is your consent, given when you tick the box on the careers form, together with the steps we both take before any employment relationship. You can withdraw that consent at any time by emailing us, and we will stop considering the application and delete what we hold.
- To keep the site working and free of abuse. Bot checks, rate limits and server logs rest on our interest in keeping the site available and usable.
- To meet legal and regulatory obligations. Where a law, a regulator or a court requires us to keep or produce records, we do.
We do not sell personal information, we do not share it with advertising networks, and we do not send marketing to people who only asked a question, unless they ask us to.
About the consent tick box. Be aware of how this works today. The tick box is checked in your browser and it stops the form submitting until you tick it, but the tick itself is not transmitted to us and not stored. We therefore hold no separate record proving you consented, only the enquiry or application you sent. We would rather say that than imply a consent log we do not have.
Who we share it with
We do not sell or rent personal information. It reaches the following suppliers because they run parts of this website for us, and they are only allowed to use it to provide that service:
- Vercel. Hosts the website, the form endpoints and our image storage, and keeps the server logs. It handles every request you make to this site.
- Our content management system, hosted on Vercel. Stores enquiries and application records and serves the content on every page.
- Brevo. Delivers the careers application email, including your CV as an attachment. It is used for recruitment email only.
- Cloudflare. Runs the Turnstile bot check on the forms.
- Google. Serves the map embedded in the footer of every page.
Beyond those suppliers, we would only disclose personal information to professional advisers where necessary, to a regulator, court or authority where the law requires it, or to a buyer of the business, and in that last case only with the same protections attached.
Some links on this site take you somewhere else: WhatsApp, our Instagram, LinkedIn, X and YouTube profiles, Google Reviews, and developer websites. Once you click, you are on their service and their privacy policy applies, not this one.
Where your information is processed
The suppliers listed above are international companies and operate infrastructure outside the United Arab Emirates, so your information will be processed outside the UAE and may be processed outside the country you are in, including outside the European Economic Area and the United Kingdom. We rely on the data protection terms each of those suppliers offers its customers to keep your information protected to the standard described in this policy when it crosses a border. If you want to know which supplier holds what, ask us at info@silveroakglobal.ae and we will tell you.
How long we keep it
- Enquiries. Kept for [ENQUIRY RETENTION PERIOD] from your last contact with us, then deleted.
- Job applications, including the CV. Kept for [APPLICATION RETENTION PERIOD] after the recruitment decision, then deleted. If you ask us to remove your application before then, we will.
- Server logs. Kept by our hosting provider under its own schedule. We do not set that period and we do not use those logs for anything other than running and securing the site.
- Browser storage. Stays on your device until you clear it. The intro animation note and the error log are cleared when you close the browser tab session.
We may keep a record for longer where a law, a claim or a dispute requires it.
Your rights
Whether you are in the UAE, in Europe or elsewhere, you can ask us to do the following with the personal information you have given us:
- Tell you what we hold about you and give you a copy of it.
- Correct anything that is wrong or out of date.
- Delete it.
- Stop or limit how we use it, including telling us not to contact you again.
- Object to us using it where we have relied on our own legitimate interest.
- Receive what you gave us in a common machine readable format, or have it sent to someone else where that is technically possible.
- Withdraw your consent at any time, which does not affect anything we did before you withdrew it.
How to use these rights. Email info@silveroakglobal.ae and say what you want us to do. Writing from the email address you used with us, or quoting the phone number you gave, helps us find your record. We may ask a further question to confirm it is really you, so we do not hand your information to somebody else. There is no charge. We aim to reply within 30 days, and if a request is complicated we will tell you and say how long it will take.
If you are not satisfied with our answer, tell us first so we can try to fix it. You can also complain to the data protection authority for your country, and in the UAE to the competent federal authority for personal data protection.
How we protect information
The whole site is served over an encrypted connection, and every form submission and file upload travels over that same encrypted connection. Access to the enquiry system and to the recruitment mailbox is limited to staff who need it. No transmission over the internet is ever completely secure, so if you have something particularly sensitive to send us, call us first and we will find a suitable route.
Changes to this policy
If we change how this website handles personal information, we will update this page and change the date at the top. If the change is significant and affects information you have already given us, we will contact you where we can.
